About the Position
The Office Administrator will work collaboratively with the MIFMA Executive Director and staff to assist with effective operation of the organization. This is a part-time, 24-hours per week, hourly position with a starting pay rate between $9 and $11/hour based on experience. For the right candidate, opportunities exist to increase to full-time as future funding supports. The position will be based in MIFMA’s East Lansing office with some travel required.
Duties and Responsibilities:
Office Management
- Organize office operations and develop systems to support a happy and productive work environment
- Answer, screen, and transfer inbound phone calls as well as take and distribute messages as needed
- Manage incoming and outgoing mail and email
- General clerical duties including photocopying, faxing and scanning
- Maintain electronic and hard copy filing systems
- Manage supply inventory and coordinate regular office supply orders
Administrative Assistance
- Assist staff with programs and special projects as assigned
- Schedule and coordinate in-person, video and phone meetings
- Participate in committee meetings and assist with committee projects as necessary
Communications and External Relations
- Manage NeonCRM software including membership, event registrations, fundraising, merchandise sales and reporting
- Develop and maintain a positive working relationship with all MIFMA contacts
- Attend a variety of functions and public events as a representative of MIFMA to convey the mission of the association in a positive manner
- Provide information and support for members and non-members
- Update the MIFMA website
- Update media archives
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
Desired Qualifications and Skills:
- Two years of office management, administrative or clerical work experience
- Passion for MIFMA’s mission and work
- Dedication to working as a member of and in partnership with diverse communities. Ability to interact with farmers, market managers and market stakeholders from diverse economic, educational and vocational backgrounds to provide exceptional customer service
- An understanding of and commitment to social justice and racial equity in the food system
- Strong organizational skills and attention to detail
- Effective communication skills, including one-on-one, writing, public speaking, and meeting facilitation
- Ability to balance multiple simultaneous projects and to easily shift between working independently and collaboratively
- Knowledge and use of technology in completing job requirements including: Microsoft Office suite, web-based search and information systems, social media platforms such as Facebook, phone and web conferencing systems including Zoom, project management software including Basecamp, and web-based content management systems including WordPress
