Job Description
The Community Events Assistant supports the planning, production, and implementation of the City of East Lansing’s festivals and community events, including, but not limited to, East Lansing Farmers Market, Summer Solstice Jazz Festival, East Lansing Art Festival, Summer Concert Series, Moonlight Film Festival, Play in the Park, Children’s Cultural Concert Series, and Winter Fest.
POSITION RESPONSIBILITIES INCLUDE:
• Support the planning and implementation of festivals and events, including conceptualization,
pre-event preparations, on-site set up, and post-event review
• Lead on-site event operations, as scheduled, including setting up and tearing down, serving as the primary point of contact for performers, answering questions and distributing promotional materials to community members, processing food benefit transactions (e.g. EBT/SNAP) at the East Lansing Farmers Market, and following approved contingency and emergency plans
• Support fundraising and sponsor solicitation for festivals and events, including maintaining accurate records of contributions and sending thank you letters to all sponsors
• Review artist and performer applications and recommend performers to book for events
• Support promotion and marketing activities, including managing and posting regularly on social media pages, preparing and sending e-newsletters, preparing and mailing promotional materials
• Maintain volunteer program forms and documentation, including volunteer role descriptions, time logs, work plans, sign-in sheets, and release and waiver of liability
• Collaborate and communicate clearly and openly with internal staff, vendors, and external stakeholders
